09-09-1996 (Library) Minutes RITA & TRUETT SMITH LIBRARY BOARD BOARD MEETING September 9, 1996 The Library Board of the City of Wylie met in regular session on September 9, 1996, in the Rita & Truett Smith Public Library at 7:00 p.m. The attendees were: Elizabeth Allen Shirley Burnette Gerry Whitt Pat Guess Mignon Morse RITA &TRUETT SMITH LIBRARY BOARD BOARD MEETING September 9, 1996 The Library Board of the City of Wylie met in regular session on September 9, 1996, in the Rita & Truett Smith Public Library at 7:00 p.m. The attendees were: Elizabeth Allen Shirley Burnette Gerry Whitt Pat Guess Mignon Morse Call to Order 1. Minutes from the August 12, 1996 Library Advisory Board meeting were approved with one amendment. Pat Guess's name needs to be added to the list of attendees. 2. Greeting Card Page This year's Greeting Card Page will be a joint project with the Friends of the Library. Audrey Wallace, Friends President, will contact the businesses and follow-up on the letters. The list of individuals will be divided between the Friends and the Board. The Board discussed what we would spend the money on and agreed to use the money toward the Library renovation and expansion. A specific need will be identified before calls are made. Mignon checked with Dale Fleeger, Northeast Texas Library System Coordinator, to confirm usage of the library patron list for phone calls is legal. If we are questioned about the source of information, we can say it is from available data but do not identify them as a library patron. The list w ill be checked against the phone book to make sure unlisted numbers are not listed. Mignon will have a sample speech and list printed and ready for the November meeting. Businesses will be contacted by mail during the first part of November. 3. Building Renovation Budget Please note there is a correction to statements made at the Library Board meeting. Mignon was informed that the roof project will be over 15,000 and go out for bid. The price should be around $17,000 which is still less than the original estimate of$21,000. Shelving quotes are in. The furniture quotes have not been received. Information will be available at the next meeting. The Library staff visited the Collin County Community College Library in Frisco to look at their circulation desk. IT is similar to the one the staff would like to have in the Smith Library. The circulation desk and other public service area furniture will be top priority. A refrigerator for the break room will be needed. In addition, the couch will be recovered to match the new wallpaper and carpeting. Moving quotes have been received. The color of wood for the furniture will be selected at the next meeting. A detailed break down of expenditures w ill be available at the October meeting. Renovation will begin a couple of weeks after the bid is awarded on October 8 at the City Council Meeting. Liz asked if the bid prices and names of construction companies could be shared with the Library Board. Mignon will check into that. 4. Future Library Meeting Location Mignon confirmed with Barbara Salinas, Mike Collin's secretary, that the Library Advisory Board could meet in City Hall in the Conference Room from November to April. The October meeting may need to be relocated to City Hall depending on the construction start date. Mignon will notify the Library Board of the meeting location in the board packets. The December meeting will be a potluck dinner and will be held in Mignon's home. 5. Interlibrary Loan improvements The Smith Library has been awarded funding from the Texas State Library to join OCLC. AMIGOS is the regional contact for OCLC. The interlibrary loan processed will be changed upon receipt of software from OCLC. Material requests will go straight to OCLC instead of through Dallas Public Library. This will speed up the process and allow for a more efficient service. Mignon will do a press release once the software is received. 6. Children's Book Week The Friends approved $200 for the Library to spend for programming during Children's Book Week. Mignon has set up two programs for children. The first program is a singer and guitarist that will be leading sing-a-longs with the children and promoting the WISD's character education program. The program will be held on November 18 at 4:00 p.m. The second program will be presented on November 19 at 7:00 p.m. and it will bewill be for school age children. Zanita Fowler, who is a storyteller, author, and librarian, will be sharing ghost stories and folk tales. The Library Director will order her books for the library collection. 7. Statistical Results of the Survey. The Library Board was pleased with the comments on the survey and the number of responses. Mignon had an incentive program to encourage people to participate in the survey. Every patron who filled out a survey had their fines waived if the materials were returned.
