Public Arts Advisory Board CITY OF WYLIE Minutes Regular Meeting August 18, 2011 —6:30 p.m. Wylie Municipal Complex Council Chambers 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. The meeting was called to order at 6:30 p.m. by Chairman Stewart Matthews. Board members in attendance were Kathy Spillyards, Susan Spurgin, and Jim Lenox. Deya Harris, Thomas Gaudreau and Polly Harrison were absent. Staff present included Carole Ehrlich, board liaison/secretary, and Public Information Officer Craig Kelly. DISCUSSION ITEMS ri" • Discussion regarding FY 2011-2012 Wylie Arts Festival. (C. Ehrlich, PAAB Liaison) Board/Staff Discussion . Staff and the board discussed the 2011 Wylie Art Festival project. PAAB liaison Ehrlich reported three applications for the festival had been received to date. She explained this was unusual at so far out from the event date. Board member and vendor committee chair Spillyards asked member to focus on fine arts and contact any artists they knew to invite them to this event. The board discussed the annual art festival tee shirt and the possibility of creating a contest for the art used on the 2011 festival tee shirts. They asked PIO Kelly to send some advertising in the utility flyers and the newsletter inviting artists and students to enter the contest. The theme chosen for 2011 was "Light Up the Arts in Olde City Park". The board discussed setting criteria for judging and the panel of judges at the next regular meeting of the board. PIO Kelly reported to the board he had been working on some additional features to add to the festival to build the attendance and activities for 2011. These included: a 16 X 20 X 5 foot"Community Canvass", an ice tubing hill or possibly a portable ice skating rink. The board suggested that costs be obtained and included with a festival budget to be brought back to the next regular meeting for review by the board. Board member Spillyards asked that the advertising currently in place be used but in addition that the city contact additional surrounding area advertisers to bring in more participation, such as the Art Trade Magazine ,Dallas Morning News Guide and "D" Magazine. She also asked that the Downtown Merchants Association be contacted to see if they could participate with possible food/craft demonstrations throughout the day in the downtown area. Chair Matthews reported that Gilbert Tamez and he had met to discuss volunteers and items to assist the rio volunteers with set up and take down assistance to the vendors. He reported that Mr. Tamez had already contact many volunteers, setting a minimum age of 12 years to volunteer. Consider and act upon the acceptance of the resignation of Thomas Gaudreau and re-appointment a vice chair for the Public Arts Advisory Board for 2011-2012. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Lenox, seconded by board member Matthews to accept the resignation of Thomas Gaudreau and to appoint board member Spillyards as Vice Chair of the Public Arts Advisory Board for 2011-2012. A vote was taken and the motion passed 4-0 with board members Gaudreau, Harrison, and Harris absent. 2. Consider and act upon approval of the minutes from the July 21, 2011 Public Arts Advisory Board meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Lenox, seconded by board member Spillyards to approve the ,... July 21„ 2011 Public Arts Advisory Board minutes as presented. A vote was taken and the motion passed 4-0 with board members Gaudreau, Harrison, and Harris absent.
