09-22-2011 (Public Arts Advisory) Minutes Public Arts Advisory Board CITY OF WYLIE Minutes Regular Meeting September 22, 2011 — 6:30 p.m. Wylie Municipal Complex Council Chambers 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. The meeting was called to order at 6:32 p.m. by Chairman Stewart Matthews. Board members in attendance were Kathy Spillyards, Jim Lenox, Deya Harris, and new board members Gaynell Reed and DeeAnn Ross. Susan Spurgin was absent. Staff present included Carole Ehrlich, board liaison/secretary. Lynn Grimes, owner of Wylie Arts Gallery was also in attendance. DISCUSSION ITEMS • Discussion regarding FY 2011-2012 Wylie Arts Festival. (C. Ehrlich, PAAB Liaison) Board/Staff Discussion Staff and the board discussed the 2011 Wylie Arts Festival project. PAAB liaison Ehrlich reported that eight applications for the festival had been received to date. The board discussed the annual art festival tee shirt design and due to the time line decided to allow Lynn Grimes, owner of Wylie Arts Festival, to contact artist members of her gallery to submit designs for this year's T-shirts. The board talked about having designs submittals by October 10' and calling a special meeting to review and make the final choice for the 2011 design within 10 days of receipt of the T-shirt designs. Public Information Officer Kelly was unable to attend the meeting but submitted a report stating that current plans were to advertise for the event in the same manner as last year plus additional advertising to build the event. The Wylie newsletter had additional information soliciting additional fine arts and handmade vendors. Kelly reported there were still plans to create the community canvass and would continue to work with Wylie Art Gallery and the public works department to create the canvass. Mr. Kelly also noted that contacts were being made with last year's sponsors as well as new sponsors for the event. Jim Lenox, sponsorship committee member reported he had been to approximately 50 businesses in Murphy and would continue to solicit sponsors in outlaying areas for the event. Board member Spillyards asked that Mr. Kelly bring back to the board at the next scheduled meeting a list of expenses for this year's event and costs for additional advertising and additional event features that could be added; members could then decide the best options to increase attendance and grow the event within the current budget. Chair Matthews reported that Gilbert Tamez and he had met to discuss volunteers and items to assist the volunteers with set up and take down. He reported that Mr. Tamez had already contacted many volunteers who September 22,2011 Wylie Public Arts Advisory Board Meeting Minutes 1' a c 2 had committed to assist with the event. Susan Spurgin, Entertainment Chair was unable to attend but reported that choirs had been assigned to the morning entertainment from 10:30 to 11:30 and the Wylie Preparatory Academy Music and Drama classes and Hartman Cool Cats had been scheduled for the afternoon entertainment. Spurgin reported there were still many groups who had not yet confirmed their participation and time slots. PAAB Chair Matthews asked new members if they wished to assist with one of the committees. DeeAnn Ross volunteered to assist Susan Spurgin with the Entertainment Committee and Gaynell Reed volunteered to assist with the Sponsorship Committee. BUSINESS ITEMS 1. Consider and act upon approval of the minutes from the August 18, 2011 Public Arts Advisory Board meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Lenox, seconded by board member Harris to approve the August 18, 2011 Public Arts Advisory Board minutes as presented. A vote was taken and the motion passed 6-0 with board member Spurgin absent. ADJOURNMENT With no other business before the board, a motion was made by board member Spillyards, seconded by board member Lenox to adjourn the meeting at 7:03 p.m. A vote was taken and the motion passed 6-0 with board member Spurgin absent.
