11-17-2011 (Public Arts Advisory) Minutes Public Arts Advisory Board CITY OF WYLIE Minutes Regular Meeting November 17, 2011 — 6:30 p.m. Wylie Municipal Complex Council Chambers 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. The meeting was called to order at 6:35 p.m. by Chair Stewart Matthews. Board members in attendance were Gaynell Reed, DeeAnn Ross, Kathy Spillyards, Susan Spurgin and Jim Lenox. Deya Harris was absent. Staff present included Carole Ehrlich, board liaison/secretary. DISCUSSION ITEMS • Discussion regarding FY 2011-2012 Wylie Arts Festival. (C. Ehrlich, PAAB Liaison) Board/Staff Discussion Staff and the board discussed the 2011 Wylie Arts Festival project. PAAB member Spillyards reported that 87 applications for the festival had been received to date with 87 currently approved. Eight food vendors were a portion of that total. Ehrlich reported that the committee anticipated final vendor numbers to surpass last year's totals. Committee chairs gave updates on the programmed entertainment, sponsorships, fine art and craft vendors including food vendors, volunteer efforts and other items prepared for the event. Public Information Officer Kelly sent a report to the board giving an overview of current advertising medias and additional advertising completed to grow the event. He reported advertising in other Neighbors GO sections such as the Allen/McKinney had been arranged. Mr. Kelly asked the board whether to expend funds for Neighbors Go Rockwall/Rowlett or inserts in the school packets. The board directed Kelly to expend the funds on Neighbors Go Rockwall/Rowlett. Mr. Kelly reported that he had confirmed $7,850 in sponsorships for the event. Kelly reported that Red Door, Majestic Ballroom and Ballard Street Music had donated the funds to purchase a 32 X 16 foot stage for the entertainment this year and in future years. Gilbert Tamez in charge of volunteers reported by e-mail that the volunteers would start directing traffic at 6:00 a.m. and coffee for vendors and volunteers had been donated by Shoemakers. He had also contacted Wal-Mart for donations of bottled water and donuts for the volunteers. Board liaison Ehrlich reported that the canvass had been purchased and was being constructed in 3 - 5' X 8' sections for the community canvass. She explained that the cost to purchase 21 yards was $270 with an additional $150 for wood materials for the frame work. Kelly had reported that an art teacher would instruct staff regarding the stretching of the canvass once the framing was complete. November 17,2011 Wylie Public Arts Advisory Board Meeting Minutes P a c 2 Susan Spurgin chairman for the entertainment committee reported all slots for entertainment were confirmed and some entertainers would be roaming the event while playing and/or singing to add another dimension to the event. She reported there would be three sets entertaining at individual areas within the park during the day. These included instrumentalists and carolers. The board scheduled a final meeting prior to the event for December 1, 2011 at 6:30 p.m. BUSINESS ITEMS 1. Consider and act upon approval of the minutes from the November 3, 2011 Public Arts Advisory Board meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Reed, seconded by board member Spillyards to approve the minutes from November 3, 2011 as presented with one addition, to note the tie winners for Draper Intermediate. A vote was taken and the motion passed 6-0 with board member Harris absent. ADJOURNMENT With no other business before the board, a motion was made by board member Lenox, seconded by — board member Spurgin to adjourn the meeting at 7:15 p.m. A vote was taken and the motion passed 6- 0 with board member Harris absent.
