11-03-2011 (Public Arts Advisory) Minutes Public Arts Advisory Board CITY OF WYLIE Minutes Special Called Meeting November 3, 2011 —6:30 p.m. Wylie Municipal Complex Council Chambers 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. The meeting was called to order at 6:50 p.m. by Vice Chair Kathy Spillyards. Board members in attendance were Deya Harris, Gaynell Reed, DeeAnn Ross, and Susan Spurgin. Stewart Matthews arrived at 7:05 p.m. Jim Lenox was absent. Staff present included Carole Ehrlich, board liaison/secretary and Craig Kelly, Public Information Officer for the City of Wylie. DISCUSSION ITEMS • Discussion regarding FY 2011-2012 Wylie Arts Festival. (C. Ehrlich, PAAB Liaison) Board/Staff Discussion Staff and the board discussed the 2011 Wylie Arts Festival project. PAAB member Spillyards reported that 50 applications for the festival had been received to date with 48 currently approved. Six food vendors were a portion of that total. Ehrlich reported that the event was ahead of last year in submissions for late October early November. Committee chairs gave updates on the programmed entertainment, sponsorships, fine art and craft vendors including food vendors, volunteer efforts and other items prepared for the event. Public Information Officer Kelly addressed the board giving an overview of current advertising medias and suggestions of additional advertising opportunities to grow the event. Mr. Kelly reported that he had confirmed $7,700 in sponsorships for the event with anticipation of a few more coming in. Board member Spillyards asked Mr. Kelly if advertising in other NeighborsGO sections such as the Allen/McKinney had been arranged. Mr. Kelly replied that it had been confirmed. Board liaison Ehrlich reported that there were several prices for the canvass to build the 5' by 18' community canvass. She explained that the cost to purchase 25 yards which would be more cost effective was around $325. She explained that was for primed canvass. The direction from the board was to direct staff to purchase the 25 yards of canvass and to contact the artist who will be overseeing the creation of the canvass to determine whether to purchase primed or un-primed canvass. Susan Spurgin chairman for the entertainment committee reported all slots for entertainment were confirmed and some entertainers would be roaming the event while playing and/or singing to add another dimension to the event. November 3,2011 Wylie Public Arts Advisory Board Meeting Minutes P a 4�. c 2 BUSINESS ITEMS Tabled from the October 13, 2011 PAAB Meeting Motion to remove from table and consider: Board Action A motion was made by board member Spillyards, seconded by board member Harris to remove Item #1 from the table and consider. A vote was taken and the motion passed 6-0 with board member Lenox absent. Board member Harris left the meeting for another commitment at 7:50 p.m. 1. Consider and act upon approval of the final featured artist design for the 2011 Wylie Arts Festival. (C. Ehrlich, PAAB staff liaison) Staff/Board Discussion Board liaison Ehrlich reported that staff had received many student submissions from Davis Intermediate, Watkins Elementary, Draper Elementary, Wylie High School and Cooper Junior High. Board members reviewed the art submissions along with some submissions from professional artists. Ehrlich suggested due to the diversity of art from the individual compasses that a winner and runner up be chosen from each canvass and those winners would compete with the professional artist submissions from artists Deya Harris, Ms. Lenox and Ms. Drennan. The board suggested giving a certificate to each campus winner and to highlight them at the December Wylie City Council meeting. Board Action A motion was made by board member Spillyards, seconded by Board member Reed to select Claire Mosby and Preston Fredericks and first and second runner up for WISD Davis Intermediate; Sydney Hamil and Simon Ung as first and second runner up for Watkins Elementary; Sarah Fuller and Nailin Carrillo as first and second place runner up for Cooper Junior High School; Alisha Seddique and Shreya Jadav tied as first place winners from Draper Intermediate, and Alexus McKeague first place from Wylie High School, and to approve Laurel Winter Drennan as the featured artist and winner of the 2011 T-Shirt Art design contest. A vote was taken and the motion passed 5-0 with board member Harris and Lenox absent. 2. Consider and act upon approval of the minutes from the October 13, 2011 Public Arts Advisory Board meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Spillyards, seconded by board member Spurgin to approve the minutes from October 13, 2011 as presented. A vote was taken and the motion passed 5-0 with board members Harris and Lenox absent. ADJOURNMENT With no other business before the board, a motion was made by board member Reed, seconded by board member Spillyards to adjourn the meeting at 8:30 p.m. A vote was taken and the motion passed 5-0 with board members Harris and Lenox absent.
