12-01-2011 (Public Arts Advisory) Minutes Public Arts Advisory Board CITY OF WYLIE Minutes Regular Meeting December 1, 2011 — 6:30 p.m. Wylie Municipal Complex Council Chambers 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. The meeting was called to order at 6:33 p.m. by Vice Chair Kathy Spillyards. Board members in attendance were Gaynell Reed, Dee Ann Ross, Deya Harris, Susan Spurgin and Jim Lenox. Chair Stewart Matthews was absent. Staff present included Carole Ehrlich, board liaison/secretary and Craig Kelly public information officer. Also present was Lynn Grimes, Vendor Committee; Gilbert Tamez and Dennis Gibbons CERT volunteers. DISCUSSION ITEMS • Discussion regarding FY 2011-2012 Wylie Arts Festival. (C. Ehrlich, PAAB Liaison) Board/Staff Discussion Staff and the board discussed the 2011 Wylie Arts Festival project. PAAB member Spillyards reported that 104 applications for the festival had been received and approved. Eight food vendors were a portion of that total. Ehrlich reported that final vendor numbers did surpass last year's totals. Committee chairs gave updates on the programmed entertainment, sponsorships, fine art and craft vendors including food vendors, volunteer efforts and other items prepared for the event. The board, staff and volunteers dis used the anticipated inclement weather forecasts and decided that staff would make the call Friday morning whether to have the event in the park or indoors at the First Baptist Church Events Center. The board directed staff to make any monetary changes needed within the budget to bring the event indoors and contact the First Baptist Church to see if the parade would be cancelled due to rain. Staff noted that the community canvass would still take place if time and weather allowed for the completion of the canvass construction. Chariman Susan Spurgin and assistant chair Dee Ann Ross representing the entertainment committee reported all slots for entertainment were confirmed and some entertainers would be roaming the event while playing and/or singing to add another dimension to the event. Spurgin noted that if the event moved indoors, the FBC stage would be used in lieu of purchasing the larger donated stage. The large stage would be purchased by the dance studios to install for next year's entertainment. December 1,2011 Wylie Public Arts Advisory Board Meeting Minutes P a <a t 2 BUSINESS ITEMS 1. Consider and act upon approval of the minutes from the November 3, 2011 Public Arts Advisory Board meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Lenox, seconded by board member Spurgin to approve the minutes from November 17, 2011 PAAB meeting as presented. A vote was taken and the motion passed 6-0 with board member Matthews absent. ADJOURNMENT With no other business before the board, a motion was made by board member Lenox, seconded by board member Spurgin to adjourn the meeting at 7:52 p.m. A vote was taken and the motion passed 6- 0 with board member Matthews absent.
