Library Board--Minutes
Monday, May 14, 2012- 7:00 pm

CALL TO ORDER
Announce the presence of a Quorum.
Members present: Grace Morrison, Gerri Washington, Shirley Burnett, Mindy Ayers, Candy Arrington,
Rachel Orozco (Board Liaison)
Members absent: Junaid Najamuddin & Timothy McCray
CITIZENS COMMENTS ON NON-AGENDA ITEMS
Residents may address Board regarding an item that is not listed on the Agenda. Residents must provide their name and
address. Board requests that comments be limited to three (3) minutes. In addition, the Board is not allowed to converse,
deliberate or take action on any matter presented during citizen participation.
There were no citizens present at the meeting.
PRESENTATION
There was no presentation made at the meeting.
ACTION ITEMS
The Library Board Minutes of Monday, April 9, 2012 were approved as presented.
DISCUSSION ITEMS
Budget for Fiscal Year 2013:
The budget is due on Monday, May 21 and we are going to ask for one more morning and Wednesday
night. We are not going to ask for the entire 54 hours because it is not in the budget. When Rachel met
with Mindy they came to the consensus that if the economy was better we could ask for the entire 54
hours. We are looking at adding Thursday morning and Wednesday night in an effort to have more of a
consistent schedule. Our ideal schedule would be to open from 10:00am-8:00pm Mon-Thursday and
10:00am-5:00pm Friday & Saturday. Since that is not feasible at this time we are asking for enough
hours to be open Monday & Tuesday 12:00-8:00pm and Wednesday & Thursday 10:00am-8:00pm. Our
goal is to be open four nights per week which would be adding 4 total hours. We are also going to shift

Saturday hours from 9:OOam-4:00pm to 10:00am-5:00pm. This shift is based on library usage patterns.
If these changes are approved the new hours would start on October 1, 2012.
We are adding hours to existing staff and also will request one additional shelving clerk who will work
15 hours. This is the amount of hours that there is not a person shelving books and we always get
behind. We have tried to minimize the staffing requests.
We have looked at the databases and are dropping two that aren't as popular and shifting those funds to
eBooks for the Kindle and the Nook. One of the databases is Career Transitions and we are hoping that
the State is going to pick up that cost. The second one is NewsBank which has two components and we
are dropping the newspaper component because the obituary component is popular. This will save us
approximately $6,000.00. The eBook platform is $2,000.00 which will give us $4,000.00 to spend on
eBooks.
We are adding more money for postage to send out overdue notices and invoices. We recently did a
large mail-out and sent overdue notices with an invoice. We spent about $200.00 on sending the notices
and we have gotten about $1,000 back in materials. We are hoping to get our patrons used to giving us
their email address. The system will automatically generate a message three days prior to the due date
of the item. This same message system also works with items on hold. Our goal is to get our items back
on time and alleviate the need for overdue notices.
Rachel is having a meeting with Mindy on Friday, May 18 to see if there is anything she would advise
us to change prior to the budget going before the City Council.
July 17 & 19 are the current dates for department presentations at the City Council special budget
meetings. Rachel will update the Board with the exact date as soon as she has been notified. All Board
Members were encouraged to attend.
Interviews for board positions are currently scheduled for May 29, 30 and June 4. Gerri Washington has
reapplied for the Board; however, Grace Morrison and Junaid Najamuddin are not reapplying due to
their both moving out of Wylie.
STAFF REPORTS
Summer Reading Club:
June 1: First day to pick up reading logs.
June 8: Kickoff- 9:00am-12:00noon
Summer programs are focused toward the upper elementary age group. The younger children can go to
storytime. Tickets are required for all events and will be held Tuesday during the day and Thursday
evening. The Teens and Adults also have summer reading programs.
We want to increase participation at the elementary level in the public schools. The Children's
Department will be giving out an Abby Award trophy to the school that has the most participation
completion rate.

The Scholastic Book Fair is June 7, 8 & 9.
We don't have any programs scheduled during August and that time is used to plan for next year.
