07-09-2012 (Library) Minutes 7A(• Library Advisory Board CITY OF WYLIE Library Board--Minutes Monday, July 9, 2012- 7:00 pm Conference Room Smith Public Library 300 Country Club Rd., Bldg. 300 Wylie, Texas 75098 CALL TO ORDER Announce the presence of a Quorum. Members present: Mindy Ayers, Candy Arrington, Shirley Burnett, Timothy McCray, Margaret Sichter, Gerri Washington, William Whitney, Rachel Orozco (Board Liaison) Members absent: None CITIZENS COMMENTS ON NON-AGENDA ITEMS Residents may address Board regarding an item that is not listed on the Agenda. Residents must provide their name and address. Board requests that comments be limited to three (3) minutes. In addition, the Board is not allowed to converse, deliberate or take action on any matter presented during citizen participation. There were no citizens present at the meeting. PRESENTATION There was no presentation made at the meeting. ACTION ITEMS The Library Board Minutes of Monday, May 14, 2012 were approved as presented. A nomination was made with motions following to elect Mindy Ayers as Chair and Shirley Burnett as Vice Chair. A vote was held and the nominees were unanimously approved. The Computer Lab Policy and Request Form, part of the Meeting Room Policy, was discussed and tabled to be further reviewed at the next meeting on August 13, 2012. The Interlibrary loan portion of the Borrower Policy was discussed and approved with the addition of "Smith Public" in the last sentence as indicated below: • » Late fees will be charged for items that are overdue in accordance with the Smith Public Library's Borrower Policy. July 9, 2012 Library Advisory Board Regular Meeting Minutes Page 2 of 2 *Oa DISCUSSION ITEMS There were no discussion items on the Agenda. STAFF REPORTS Budget for Fiscal Year 2013: A special City Council budget meeting was held on Saturday, July 7. Things went well; however, there is no money to add additional hours. The only new service the library is going to add is eBooks. The eBook platform is $2,000.00 which will give us $4,000.00 to spend on eBooks. Departments were asked to cut their budgets and Rachel cut out any proposed new programs. When Rachel worked on the long range plan for the library one topic of discussion was ways of making the library accessible at times when it is closed. One area that is under review is how to better serve our senior citizens with one possibility being having a small collection at the senior center. There was also talk about partnering with one of the local churches to deliver items to homebound citizens. July 10 is the next budget meeting with City Council. Rachel has already presented the Library's budget so other departments will be doing their presentations. If another budget meeting is needed it will be held on Friday, July 13 at 6:00pm. Rachel will let the Board members know if there is a need for them to attend that meeting. Summer Reading Club: There were 1,662 people in attendance at the kickoff on Friday, June 8 which was 500 more than last year. The Police had to be called to direct traffic due to the large crowd. The library has been very busy and the programs almost always have been full. Summer reading club is ending a week earlier this year since participation fell last year during the last week. Speculation is that most families are taking vacations and/or preparing for the new school year starting mid to the end of July. ADJOURNMENT Meeting adjourned at 8:37 pm. • '-"LnAy Ayers,Chair Date
