Special Called Meeting
November 1, 2012 — 2:00 p.m.

CALL TO ORDER
Announce the presence of a Quorum.
Vice Chairman Jim Lenox called the meeting to order at 2:00 p.m. Board members in attendance were
Anne Hiney, DeeAnn Ross, Lisa Green, Susan Spurgin, Lynn Grimes, and Gaynell Reed. Councilwoman
Kathy Spillyards was also in attendance.
Staff present included Carole Ehrlich, board liaison/secretary.
DISCUSSION ITEMS
• Discussion regarding FY 2012 Wylie Arts Festival Subcommittee Meeting. (C.
Ehrlich, PAAB Liaison)
Committee Reports
The 2012 Wylie Arts Festival Subcommittees gave the board an update on plans for the 2012 Wylie Arts Festival.
Entertainment Committee — reported only five slots of entertainment were left and should be filled in the next week
or two.
Vendor Committee — reported that currently 84 booths were filled with several coming in every few days.
Sponsorship Committee—reported currently there were ten sponsors totaling $4,000 in sponsorship funding.
T-Shirt Design — Chair Lisa Green reported that five submissions had been received. The board will make a final
decision on the design as a business item tonight. Anne Hiney volunteered to contact vendors for the T-shirt to find
the best cost.
Advertising Committee - reported that advertising would include regional "Neighbors Go" to Rockwall, Garland,
Allen, McKinney, and Plano areas to invite attendees to the event. These ads would go out shortly before the actual
event.
Logistics Committee - finalized vendors to set up Friday night from 6:00 p.m. to 9:00 p.m. and Saturday from 6:00
a.m. to 9:00 a.m. There would be open set up and vendors could choose which day they wished to come to set up
their booths. Also discussed was security Friday night to insure no break-ins or vandalism. Chair Lenox reported he
believed his son might take the duty of watching the vendor merchandise Friday night.
Dianne Millis was present representing the Wylie Retired Teachers Association to volunteer to assist vendors the day
of the event for lunch/dinner relief. The board asked her group to assist with the community canvass and vendor
questions as well. Gilbert Tamez representing CERT was present to discuss traffic control and loading and
unloading.
The next Festival discussion will take place Thursday, November 15, 2012 to finalize some of the event activities. It
was also discussed that Lynn Grimes would head the "Community Canvass" to see that the canvass was stretched
and ready for children to participate and find an artist(s)to assist with the instruction for children to participate.

• Discussion regarding the Downtown Mural Project Art Dedication and 125th
Anniversary Celebration. (C. Ehrlich, PAAB Liaison)
Executive Summary
PAAB Liaison Ehrlich reported that Roger and Karen Nitz have completed work on the downtown mural and
staff is planning the art dedication to coincide with the 125th Anniversary of Wylie. Presently staff is seeking
donations for the birthday cake, hot dogs, drinks and condiments. She reported that the cake had been
promised by Albertsons.
Ehrlich informed the board that during the presentations, a story teller would be reading the history of Wylie
and a longtime resident would speak to Wylie years ago. City Manager Manson would talk about Wylie
today, all in remembrance of the 125th anniversary of the city. Ehrlich reported John Potoschnik would speak
about the mural and the significance of art in the city and Roger Nitz, artist, would speak about the
significance of the 125th Anniversary within the mural and city memories created within the mural. Board
members discussed their presence at the dedication to assist with the event.
BUSINESS ITEMS
1. Consider and act upon approval of the final art design for the 2012 Wylie Arts
Festival T-Shirts. (C. Ehrlich, PAAB Liaison)
Board Action
A motion was made by board member Grimes, seconded by board member Reed to approve the art
design of Ann Hiney as the 2012 Wylie Arts Festival T-Shirt design. A vote was taken and the motion
passed 7-0.
ADJOURNMENT
With no other business before the board, a motion was made by board member Grimes, seconded by
board member Green to adjourn the meeting at 3:34 p.m. A vote was taken and the motion passed 7-0.
