10-18-2012 (Public Arts Advisory) Minutes Public Arts Advisory Board CITY OF WYLIE q Minutes Regular Meeting October 18, 2012 - 6:30 p.m. Wylie Municipal Complex Council Chambers 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. Vice Chairman Anne Hiney called the meeting to order at 6:30 p.m. Board members in attendance were DeeAnn Ross, Lisa Green, Susan Spurgin, and Gaynell Reed. Board member Robbin Endsley (resigned) and Jim Lenox were absent. Staff present included Carole Ehrlich, board liaison/secretary, and Craig Kelly, Public Information Officer. DISCUSSION ITEMS • Discussion regarding FY 2012 Wylie Arts Festival Subcommittee Meeting. (C. Ehrlich, PAAB Liaison) Committee Reports The 2012 Wylie Arts Festival Subcommittees gave the board an update on plans for the 2012 Wylie Arts Festival. Entertainment Committee — reported only five slots of entertainment were left and should be filled in the next week or two. Vendor Committee — reported that currently 46 booths were filled with several coming in every few days. Sponsorship Committee— reported currently there were eight sponsors totaling $2,750 in sponsorship funding. T-Shirt Design, — Chair Lisa Green reported that two submissions had been received with more anticipated. The board discussed meeting Thursday, November 1, 2012 at 2:00 p.m. to finalize the winning t-shirt design to be placed on the t-shirts for the event. Also discussed were having designations for volunteers added to the print on shirts worn by volunteers and board members. Advertising Committee - reported that advertising would include regional "Neighbors Go" to Rockwall, Garland, Allen, McKinney, and Plano areas to invite attendees to the event. Logistics Committee - discussed allowing vendors to set up Friday night from 6:00 p.m. to 9:00 p.m. and Saturday from 6:00 a.m. to 9:00 a.m. There would be open set up and vendors could choose which day they wished to come to set up their booths. Also discussed was security Friday night to insure no break-ins or vandalism. Gerri Washington was present representing the Wylie Retired Teachers Association to volunteer to assist vendors the day of the event for lunch/dinner relief. Gilbert Tamez representing CERT was present to discuss traffic control and loading and unloading. The next Festival discussion will take place Thursday, November 1, 2012 to finalize some of the event activities. It was also discussed that Lynn Grimes would head the "Community Canvass" to see that the canvass was stretched and ready for children to participate. Craig Kelly reported he would ask the Wylie Prep School art teacher to assist with the canvass the day of the event. Ehrlich, PAAB Liaison) Staff Report Jim Lenox and Lynn Grimes were not present. The board will hear a report on the events at the next regular meeting of PAAB. • Discussion regarding the Community Park CIP Art Project. (C. Ehrlich, PAAB Liaison) Staff Comments PAAB liaison Ehrlich reported artist Johnny Edwards had begun work on the foundations. He will continue working the week of October 22nd. He plans to be onsite and complete the sculptures in the next three weeks. This will be contingent upon good weather and no fabrication issues. Ehrlich presented the board with pictures sent by Mr. Edwards of his armatures that were constructed for each sculpture. • Discussion regarding the Downtown Mural Project. (C. Ehrlich, PAAB Liaison) Staff Comments PAAB liaison Ehrlich reported artists Roger and Karen Nitz are currently working on the downtown mural at Olde City Park and should complete the project by Friday, October 25th. She explained to the board that the 125th Anniversary of the City of Wylie was November 8, 2012. This was the day that voters in Wylie in 1887 voted to incorporate the city. Staff and council would like to coordinate the mural dedication with the 125th celebration on November 8th. She reported that Craig Kelly and herself were working on the details but would include entertainment food, and the dedication of the mural. Ehrlich suggested further discussion and reports of event particulars could be given at the special called meeting of November 1, 2012. Board member consensus was to plan the two events together and direct staff to plan the event. BUSINESS ITEMS 1. Consider, and act upon, approval of the minutes from the September 20, 2012 Public Arts Advisory Board meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by Vice Chair Hiney, seconded by board member Reed to approve the minutes from the October 18, 2012 PAAB meeting as presented. A vote was taken and the motion passed 6-0 with board member Ross absent.
