08-12-1996 (Library) Minutes RITA & TRUETT SMITH LIBRARY BOARD BOARD MEETING August 12, 1996 The Library Board of the City of Wylie met in regular session on August 12, 1996, in the Rita & Truett Smith Public Library at 7:00 p.m. The attendees were: Elizabeth Allen Shirley Burnette Gerry Whitt Lois Swartz Leo Houck Mignon Morse Call to Order 1. Minutes from the July 8, 1996 Library Advisory Board meeting were approved 2. Election of Officers Chair: Pat Guess Vice Chair: Shirley Burnette Secretary: Gerry Whitt 3. Discussion of Building Renovation Budget and Additional 4B money. Mignon reported that the construction documents were delivered on August 12, 1996 to Code and Jim Holcomb, purchasing agent. Bids will be released on August 27, 1996; opened on September 18, and awarded on October 8. The City Council is seriously considering approving an additional $60,000 for the Library renovation. A memo was included in the Board packet indicating how the money would be spent. The major items are re- roofing, shelving and furniture. Mignon met with two shelving companies who have Estey shelving. She is waiting on price quotes from each of them. The roof project may be bid with the Community Center roof project to get a better price. Shelving will be purchased to match the existing shelving. End panels will be added. Slatted end panels will be added if the budget permits. This will allow for displays. All of the adult furniture, tables, chairs, and chairs in the Bluebonnet Room will be used in the renovated facility. A circulation desk will be purchased along with children's furniture. 4. Discuss Closing of Bluebonnet Room. The Bluebonnet Room will be used as a storage area for the construction contractors during the renovation. Therefore, the Library Advisory Board needs to relocate their meetings from November 1996 to April 1997. Mignon notified the clubs that regularly use the Bluebonnet Room of the temporary closing. There was a discussion of meeting at City Hall during that time period. Mignon will check on scheduling and make sure the conference room is available on those evenings. Mignon invited the Library Advisory Board to meet at her house for a pot luck dinner for the December meeting. Mignon reported that she is waiting on price quotes from movers. All of the books will be relocated to the Community Center during the phase 1 move. Furniture will be stored at City Hall in the break room area near Susan Shuler's office during the renovation of the current library facility. 5. Discuss Statistical Increases. Mignon reported on the statistical increases for July. There was a 55% increase over July 1995 circulation. The Library had the highest circulation ever in the history of the Library. Gerry asked if the increase was a result of Summer Reading Club programs. Mignon agreed that this was part of it along with publicity and new materials purchased with 4B money. 6. Discuss Summer Reading Club Mignon submitted a press release to the Wylie News that summarizes the events of Summer Reading Club. The child who read the most books received a free ticket to six flags. The two children who came in second place won tickets to a Children's theater in Richardson. Staff did a great job promoting the program. Geri did a good job of coordinating and running the events. There was a 14% increase in registration over the 1995 Summer Reading Club program. Mignon asked the parents who registered their children to complete a survey on programming to determine their interests. There was a high interest in programs about animals. The Library Advisory Board suggested some programs that that may be of interest to library users. Mignon will check into these programs. New Business Mignon reported information on a grant she plans to apply for through Grollier for $4,000 to be spent on innovative programming related to the National Library Week theme. The theme for 1997 is "Kids connect @ the Library." Liz asked if the Library was planning to offer after school tutoring. Mignon replied by stating the Teen Center is offering tutoring. Mignon offered to help Lisa by supporting their efforts with Library materials. She is planning to work with Lisa to offer some programs for Young Adults. The meeting was adjourned at 8:05 p.m.
