02-21-2013 (Public Arts Advisory) Minutes Public Arts Advisory Board CITY OF WYLIE Minutes Regular Meeting February 21, 2013 — 6:30 p.m. Wylie Municipal Complex Council Chambers/Conference Room 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. Chairman Jim Lenox called the meeting to order at 6:31 p.m. Board members in attendance were Vice Chair, Anne Hiney, Lynn Grimes, DeeAnn Ross, and Gaynell Reed. Susan Spurgin and Lisa Green were absent. Staff present included Public Information Officer Craig Kelly and Carole Ehrlich, board liaison/secretary. DISCUSSION ITEMS • Discussion regarding an Annual "Art Sponsorship". (C. Ehrlich, PAAB Liaison) Board Discussion Committee Chair Lynn Grimes addressed the board regarding an annual sponsorship program. She explained that the new brochure would include the Monthly Art Programs, the July Bluegrass Event and the Wylie Art Festival as part of the advertising package. Past Partners would also be displayed on the brochure. The logo will be named "Wylie Art Partners", a City of Wylie Public Arts Program. She reported the sub-committee had met and designed the logo and brochure showing the sponsorship levels and offerings for each. Public Information Officer Kelly showed an example of the tri-fold brochure and asked for suggestions for any changes that might be needed. The board directed Kelly to make some small formatting changes and stated they were very happy with the brochure. The committee will use this brochure to secure yearlong sponsors for the Public Art Funds/Program. • Discussion regarding future events including the spring Arts Festival to be held at the Municipal Complex, the Monthly Art Programs held at the Library, Searching for a Star participation and July Jubilee vendor participation. Ehrlich, PAAB Liaison) Board Discussion Bluegrass on Ballard: PAAB members discussed the Bluegrass on Ballard, previously known as theJuly Jubilee (July Event) to provide a craft vendor show in Olde City Park the day of the event. The board discussed fees for the event and noted that no electrical outlets would be provided. The board consensus was to charge $50. For a 10 X 10 . . booth and no multi-market vendors. Public Information Officer Kelly displayed a copy of the vendor application for the event. The board was pleased with the application and logo. Fine Art Spring 2014 Event: Board member Hiney reported she had reached out to several people regarding the proposed 2014 spring event to be held at the Municipal Complex. This event would include symphony/classical music from a regional orchestra and fine artists. She stated once she had received costs for both professional regional orchestras and local high school orchestras, she would report with those findings back to the full board. February 21,2013 Wylie Public Arts Advisory Special Board Meeting Minutes (' 2 In other business regarding the Monthly Art Programs held in between the Library and Recreation Center the first Saturday of the month, the board discussed having the programs start in April of each year and run through October. — MAP: Board member Grimes reported the Monthly Art Programs would start in April and run through October. Grimes reported she would have the full itinerary ready to present to the board at the next meeting and each month would have at least one performing artist or children's activity and one fine artist demonstrating their art work. She asked board members to allow the July program to take place at Olde City Park as that was the first Saturday of the month and all members would be busy with the Bluegrass on Ballard event. The board concurred that combining it at Olde City Park with the vendor event was the best option. • Update regarding the Community Park CIP Art Project. (C. Ehrlich, PAAB Liaison. Staff Comments PAAB liaison Ehrlich reported plans had begun for the Community Park Art Dedication scheduled during opening baseball day at the park on March 23rd. She asked for direction from the board to allow staff to create the invitations and plan the festivities which would include refreshments, handouts of some type for the kids and speeches. The scheduled time for the dedication would be 10:30 am — 11:00 am In between games. Direction from the board was for staff to move forward with the plans. Ehrlich reported the sculptures were coming along and artist Johnny Edwards estimated it would be a week to completion of the Batterpillar and then color would be added to both sculptures. REGULAR AGENDA 1. Consider and act upon approval of the Public Arts Advisory Board minutes from — January 17, 2013. (C. Ehrlich, PAAB Liaison) Board Action A motion was made by board member Grimes, seconded by vice chair Hiney to approve the January 17, 2013 PAAB minutes as presented. A vote was taken and the motion passed 5-0 with board members Spurgin and Green absent.
