03-25-2013 (Library) Minutes Wit Library Advisory Board CITY OF WYLIE -7- Library Board--Minutes Monday, March 25, 2013- 7:00 pm Conference Room Smith Public Library 300 Country Club Rd., Bldg. 300 Wylie, Texas 75098 CALL TO ORDER Announce the presence of a Quorum. Members present: Mindy Ayers, Shirley Burnett, Gerri Washington, William Whitney, Margaret (Elaine) Sichter & Rachel Orozco (Board Liaison) Members absent: Candy Arrington & Timothy McCray CITIZENS COMMENTS ON NON-AGENDA ITEMS Residents may address Board regarding an item that is not listed on the Agenda. Residents must provide their name and address. Board requests that comments be limited to three (3) minutes. In addition, the Board is not allowed to converse, deliberate or take action on any matter presented during citizen participation. There were no citizens present at the meeting. PRESENTATION No presentation was made at the meeting. ACTION ITEMS The Library Board Minutes of Monday, February 11, 2013 were approved as revised adding Gerri Washington present at the meeting. Unattended Child Policy: A discussion was held at the last meeting regarding the age of unattended children being currently set at 11 and staff requested the age be changed to 9. This would allow children age 10 and above to be in the building without adult supervision. The Board voted on the change and it was unanimously approved. DISCUSSION ITEMS Library Budget: • Mid-Year FY13 requests: o Seasonal clerk to work 20 hours to shelve due to the increase in patron library usage during the summer. March 25, 2013 Library Advisory Board Regular Meeting Minutes Page 2 of 3 o Will request an additional 5 hours per week for the current part-time staff to cover the increase in patron usage and to cover additional summer programs. • FY14 Budget: The next budget is currently being worked on and is due the end of May. It will then be reviewed by Council and is approved the second Tuesday in September. o Will request that the library be open an additional 8 hours per week with proposed hours as follows: ■ Monday-Thursday 10:00am-8:00pm ■ Friday and Saturday 10:O0am-5:OOpm. ■ This would make the hours more uniform throughout the week. o Mindy volunteered to draft a letter to City Council from the Board requesting additional hours and will bring it to the next meeting for review. o Rachel will do another survey for the patrons to provide input on the additional hours they would like to have. o The Teen Library Council plans to attend the City Council Meeting on April 9 to explain what they do and also to present the benefits of having the library open more hours. STAFF REPORTS Staff Social: • Library Board plans to hold a staff social on Monday, August 12, 2013 from 6:30-8:00pm in lieu of their regular board meeting. E-Books: • This is now fully operational and has had a very good response. Usage will continue to be monitored and, as a result, some of the Adult book funds may be shifted here for the FY14 budget. Library Awards: • Texas Library Media Award, Texas Library Association o This award is given by the Texas Library Association and the Teens won second place for their banned books video. On April 27 they will go to the TLA Conference in Fort Worth to get their award. o Rachel will try to have the Mayor present this award to the Teens at the May 14 City Council meeting. • Excellence in Libraries, Texas Municipal Library Director's Association o There are ten criteria that have to be met for this award. Rachel and Melissa put a notebook together, submitted it for consideration and the award was received. o Rachel will try to have the Mayor present this award at the City Council meeting on April 23. Library Upcoming Events: • Good Friday Holiday: March 29 (will be open on Saturday March 30) -`" o Easter weekends have always been busy so that is why we close on Good Friday and open on Saturday of that weekend. • World Book Night Reception: April 16 @ 6:30pm March 25, 2013 Library Advisory Board Regular Meeting Minutes Page 3 of 3 o The organization mails free books to our library and volunteers sign up and then go out into the community to pass the books out. • Business Classes o These classes are continuing to be held and the schedule can be found on the Library website. • Computer Classes o These are becoming more popular especially the Excel classes.
