07-02-2013 (Public Arts Advisory) Minutes _lit/ Public Arts Advisory Board CITY OF WYLIE ' g Minutes Special Called Meeting July 2, 2013 — 3:00 p.m. Wylie Municipal Complex Council Conference Room 300 Country Club Road, Bldg. 100 CALL TO ORDER Announce the presence of a Quorum. Vice Chairman Anne Hiney called the meeting to order at 3:15 p.m. Committee members in attendance were Lynn Grimes, Susan Spurgin, Gaynell Reed Staff present included Carole Ehrlich, board liaison/secretary and Craig Kelly Public Information Officer. DISCUSSION ITEMS • Discussion regarding a proposed 2014 Spring Art & Jazz Festival. (C. Ehrlich, PAAB Liaison) Board Discussion PAAB members discussed further plans for the 2014 Spring Art&Jazz Festival to be presented to Council during the budget process for FY 2013-2014. Members discussed the new event with regard to revenue generation and other features of the event. Board members discussed the April 26'2014 scheduled date with regard to the Denton Jazz Festival being held on the same day. Board member Lynn Grimes stated that she was not in favor of starting the event in 2014 but rather wanted to wait until the spring of 2015 to hopefully choose another date and have more time to plan the event. Members discussed the delay from 2013 to 2014 for the same reason and concurred that the event should be recommended to council this year with the caveat that the first couple of years, the event would more than likely not have large crowds and would not provide revenue producing income. It would however engage participants in the "arts". The board talked about finding some local and regional jazz bands to entertain with the ISD bands in order to draw larger crowds. It was also suggested that staff look into the possibility of serving wine and having gourmet food trucks to serve meals. Direction from the board was to research some pricing for additional jazz bands; check on the availability of the local winery to serve wine for the event and determine if the council was in favor of an event serving wine or an event strictly with school district's jazz bands and a couple of local jazz groups, with no alcohol sales. The board would then further discuss the event and begin to procure fine artists, and other features of the event. PAAB Liaison Ehrlich stated she would look into the features for the event and report back to the board after the Public Art Fund presentation to council on the 16th July 2,2013 Wylie Public Arts Advisory Special Board Meeting Minutes Page 12 • Discussion regarding the Bluegrass on Ballard Event and vendor space. (C. Ehrlich, PAAB Liaison). Board Discussion PAAB liaison Ehrlich reported there were 55 craft and food vendors and all planning had been completed for the July 6th event. She asked that volunteering members arrive at 7:30 a.m. on the 6th to assist vendors unloading and direct them to their booth spaces. She reported there were several persons who had also volunteered to assist the board the morning of the event. ADJOURNMENT With no other business before the board, a motion was made by board member Grimes, seconded by board member Spurgin to adjourn the meeting at 4:47 p.m. A vote was taken and the motion passed 4-0. nn iney, Vice Chair Carole Ehrlich, ecretary
