05-19-2014 (Library) Minutes Library Advisory Board CITY OF WYLIE f Library Board—Special Meeting Minutes Monday, May 19, 2014 - 7:00 pm Conference Room Smith Public Library 300 Country Club Rd., Bldg. 300 Wylie, Texas 75098 CALL TO ORDER Announce the presence of a Quorum. Members present: Mindy Ayers, Dorothy Corbin Brand, Gerri Washington, William Whitney & Rachel Orozco, Board Liaison Members absent: Todd Abronowitz, Shirley Burnett & Kathy Schwarz CITIZENS COMMENTS ON NON-AGENDA ITEMS Residents may address Board regarding an item that is not listed on the Agenda. Residents must provide their name and address. Board requests that comments be limited to three(3)minutes. In addition, the Board is not allowed to • converse, deliberate or take action on any matter presented during citizen participation. No citizens were present at the meeting. PRESENTATION No presentation was scheduled. ACTION ITEMS The Library Board Minutes of Monday, April 14, 2014 were approved as presented. DISCUSSION ITEMS The letter from the Board to the City Council was reviewed, discussed and signed by all Board Members present. Absent members will be contacted and arrangements will be made for them to review and sign the letter. Mid-Year Budget requests were mainly for additional hours for part-time staff during the summer. All of these requests were approved which will give each part-time employee approximately 10 more hours per week. This will help our full time staff with the additional programs, visitors and also to cover if anyone is out. Also, we received approval for a summer clerk to assist Circulation with the increase in shelving. Alyssa Schwarz, one of our part-time Reference Assistants, accepted a full time position in Plano so we have that part-time position vacant. Dia, our full time reference assistant in Children's is May 19, 2014 Library Advisory Board Special Meeting Minutes Page 2 of 3 no longer with us. As a result, the remaining part-time staff has been asked to submit a letter of intent if they are interested in the full time position. Emily Repasky who came back after going away to college is now leaving and moving to Austin. FY15 budget input was completed and submitted today. Not counting personnel budget requests were only $4,700.00 more than was requested last year. Increases were requested in the book budget, audio visual budget and special services for funds to pay for the computer teachers. Costs of our data bases increased slightly due to inflation but nothing is being added or dropped. Six additional hours were requested to make the library hours more consistent through the week changing opening hours to 10:00am. Budget meetings will be held with Mindy and Finance during the first full week in June. During July at the City Council meetings the departmental budgets will be presented. It was agreed that the issue of outreach would be tabled and will be discussed at the next Board meeting. STAFF REPORTS During the summer our Monday hours change to 10:00am-6:00pm instead of 12:00pm-8:00pm beginning June 9 and ending August 18. Also, during the summer we will be having all of our storytimes except for Thursday afternoon. Instead we will be having science programs for the upper elementary grades. Programs will begin at 11:00, 12:00 and 1:00 instead of previous years being 12:00, 1:00 and 2:00. Even though the library isn't open we are still be able to hold programs. The literacy leapers program won't be held this summer. We are in the process of restructuring the program and hope to offer it again next summer. Upcoming Special Events: ROAR @ SPL Poetry Festival: May 29 & 31 Let your voice be heard! Our festival kicks off Thursday, May 29 at 7 p.m. with a poetry open mic at 96° West Winery in downtown Wylie(for ages 18 and up). Will Richey and Alejandro Perez, known for their program, DaVerse Lounge, will lead the poetry workshops for tweens (4th and 5th grade) and teens (6th-12`h grade). Workshops will be held on Saturday, May 31 from 10 a.m. to 12 p.m. with lunch and open mic from 12 p.m. to 1 p.m. To register call 972- 516-6250, option 3. Participants may bring up to two poems. One will be selected for publication. Karla Morton, 2010 Texas Poet Laureate, will conduct a workshop for adults (ages 18 and up), on Saturday, May 31 from 1:30 p.m. to 3:30 p.m. Kids Summer Reading Club: May 27-August 2: For kids entering 5th grade and younger. Teen Summer Reading Club: May 27-August 2: For teens entering 6`h-12`h grades. Adult Summer Reading Club: May 27-August 2: For adults ages 18 and up. Scavenger Hunt: June 9-June 14: Kids may come to the Children's Desk and teens can go to the Teen Room to get the clues, find the May 19.2014 Library Advisory Board Special Meeting Minutes Page 3 of 3 answers and turn them in for a prize! This activity is self guided. One prize per day per child please while supplies last. Summer Reading Club Kick-Off Party: June 13 from 9:OOam-12:OOpm Come enjoy a bounce house, inflatable slide, DJ, face painting, petting zoo, Scholastic Book Sale, a visit from Clifford the Big Red Dog and much more! This is an outdoor event, so please plan accordingly. Fun and free for the whole family. Brought to you by the Smith Library and the Wylie Recreation Center.
