04-17-2014 (Public Arts Advisory) Minutes Public Arts Advisory Board CITY OF WYLIE Minutes Regular Meeting April 17, 2014— 6:30 p.m. Wylie Municipal Complex Council Chambers/Conference Room 300 Country Club Road, Bldg. 100 CALL TO ORDER The Public Arts Advisory Board meeting was called to order at 6:30 pm by Chairman Anne Hiney. Board members present included: Chair, Anne Hiney and board members, Vice Chair Lynn Grimes, Gaynell Reed, Britt Volker, and Lisa Green. Board member DeeAnn Ross was absent. Staff present included Carole Ehrlich, board liaison and PIO Craig Kelly. DISCUSSION ITEMS • Discussion regarding a proposed 2014 Spring Jazz & Art Festival (JazzArts Fest). (C. Ehrlich, PAAB Liaison) Executive Summary PAAB members updated final committee plans for the 2014 Spring JazzArts Festival. These include: Food-Gourmet Trucks — Lynn Grimes reported that food trucks were set and ready to go. Board members suggested that Pro Catering, Kettle Corn and Bold BBQ be contacted to facilitate the event as well as the two additional food vendors confirmed. PAAB liaison Ehrlich replied she would get in contact with them to submit applications for the event. Entertainment — Co-chairs Anne Hiney and Britt Volker reported that all spots for entertainment were reserved at this time. PIO Craig Kelly reported that all contracts were finalized and the bands were ready for their performances. He noted that a lot of logistics would be completed in the next couple of weeks. Artists/Artist Organizations/ISD Art Groups — Liaison Ehrlich reported that 33 vendors had signed up for the event and the vendor booth setup would be completed by staff within the next couple of weeks. She also noted that WISD honor art students would be setting up as previously planned under the patio near the art piece. Children's Activities —Ehrlich reported staff had confirmed all children's events including the Rad Hatter. Anne Hiney reported she had secured a sponsor for the Rad Hatter that would be funding the activity cost. Many Wylie Art Partners would be included in the sponsor totals and advertising. T-shirts were to be ordered for volunteers and staff. • Discussion regarding a proposed 2014 Bluegrass on Ballard Festival. (C. Ehrlich, PAAB Liaison) Board liaison Ehrlich reported vendor applications were coming in and plans would be underway once the JazzArts Fest was completed. • Discussion and update regarding the final art design and contract (Sid Henderson, Artist) for the art project at the remodeled Public Safety Building. (C. Ehrlich, PAAB Liaison) Executive Summary PAAB liaison Ehrlich reported the project was ready for fabrication however staff would be working with the artist to finalize the contract for the art, prior to fabrication starting. Ehrlich indicated the contract would go to the board in May and then to City Council for final approval in late May or early June. REGULAR ITEMS 1. Consider, and act upon, approval of the Public Arts Advisory Board minutes from the March 20, 2014 Regular meeting. (C. Ehrlich, PAAB Liaison) Board Action A motion was made by board member Reed, seconded by board member Grimes to approve the March 20, 2014 Public Art Advisory Board minutes as presented. A vote was taken and the motion passed 5- 0 with board member Ross absent. ADJOURNMENT Board Action A motion was made by board member Reed, seconded by board member Green to adjourn the PAAB meeting at 8:20 p.m. A vote was taken and the motion passed 5-0 with board member Ross absent.
