November 18, 2016 Re: 2016 Wylie Arts Festival Dear Vendor, Congratulations on being chosen as a vendor for the eighth annual Wylie Arts Festival! Attached you will find a map and a placard for your car that must be displayed to enter the vendor unloading area as and to access vendor parking. There are two (2) set up times for your convenience. Friday night (Dec 2nd) from 6:00pm to 9:00pm (inside vendors only) and Saturday morning (Dec 3`d)from 6:00 a.m. to 9:00 a.m. (inside and outside vendors). All vendors must be unloaded and completely out of the unload zone within those time frames. The event is scheduled to start at 10:00 a.m. (over at 5 pm). The FBC Events Center is located at 200 N. Ballard Avenue, Wylie TX 75098. Access the vendor unloading area from Jefferson Street. (see attached map) Once unloaded, cars must be quickly moved to the designated vendor parking which is located on the south side of Wylie Baptist Church along Highway 78. NO VENDORS MAY PARK IN THE EVENTS CENTER PARKING AREA. We want customers to be able to access the area easily which will mean more sales for you!! Each craft/art vendor is asked to donate one item from their merchandise (Minimum value $30.00) to sell at their booth to raise funds for the ARTS in Wylie. All proceeds from these sales will go directly to the Arts fund.You will be provided a sheet to display with the item at your booth. The two highest donating craft/art vendors will receive a free booth next year! So get ready to promote your item and be the winning vendor® Money raised must be turned in at the sign in booth by 3:00 p.m. Here are a few housekeeping items to keep in mind while preparing for the event: • Your preassigned booth space will be available at the time of arrival.Volunteers will be available at arrival to assist vendors in locating their booth space. • NO SUBSTITUTE VENDORS WILL BE ALLOWED; ONLY ORIGINAL PRE-APPROVED VENDORS WILL BE ALLOWED. • Outside Vendors will need to provide your own tent/canopy and will need something to stabilize your tent poles(sand bags, buckets, etc.) because you will be located on concrete.You will be provided electricity. • Vendors must stay for the entire event and may not close until public safety officials declare it safe to move vehicles in the parking area. • No heaters are allowed in the building. 300 Country Club Drive 0 Wylie,Texas 75098 ® 972.516.6000 0 vwvvw.wvylietexas.gov Our Mission... • ...to be responsible stewards of the public trust, CITY OF WYLIE 10 strive for a cellence in public service and to ® enhance the quality of life for all. • Fine art and homemade craft vendors must supply electrical plugs,cords,tables,etc. for booths. Electricity will be provided for one multi plug hookup. • Building lighting is provided, but the lighting is somewhat dim. Public Arts Advisory Board CITY OF WYLIE Minutes Regular Meeting September 22, 2016 - 6:00 p.m. Wylie Municipal Complex Council Chambers/Conference Room 300 Country Club Road, Bldg. 100 CALL TO ORDER The Public Arts Advisory Board meeting was called to order at 6:00 p.m. by Chair Lynn Grimes. Board members present included: Lynn Grimes, Nancy Peirce, Michael Schwerin, Michelle Pugh, Anita Jones, Lisa Green and Brooke Lopez. Staff present included: Carole Ehrlich, board liaison. DISCUSSION ITEMS • Update and discussion regarding the 2016 Wylie Arts Festival. (C. Ehrlich, PAAB Liaison) Executive Summary Board Liaison Ehrlich provided lists of vendor applicants for each of the three booth sizes. She reported the selection panel would meet after the regular meeting tonight to review and approve vendors. She reported in lieu of the community canvas activity, the Wylie Art Gallery would provide artists to work with the children to create Christmas ornaments. The supplies would be paid for by the event and the gallery would charge $1.00 per ball to design a ball. Three hundred would be purchased to accommodate all visitors wishing to participate. Ehrlich reported there would also be small pony rides and a spray paint artist to demonstrate his work. Entertainment would be provided by Rob Hunter and his music students. • Update regarding the 2016 Thoroughfare Public Art Projects. (C. Ehrlich, PAAB Liaison) Staff/Board Comments PAAB Liaison Ehrlich provided an update on the progress of artists Michael Szabo and John Davis and the fabrication designs of the three sites. She reported Michael Szabo (Site 1 and 2) had furnished his insurance certificate and she had processed his first milestone payments for each of the two sites. She reported he had indicated he would complete the final design and engineering plans by mid-November and would begin fabrication sometime in December 2016. He indicated if the process continues as planned the fabrication would be completed in May of 2017. September 22, 2016 Wylie Public Arts Advisory Special Meeting Minutes _ 12 Ehrlich reported she was waiting to receive the insurance certificate and final executed contract from John Davis (Site 3) and would process his first invoice once the documents were received. BUSINESS ITEMS 1. Consider and act upon approval of the minutes from the September 19, 2016 Public Arts Advisory Board Special Called Meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Schwerin, seconded by board member Peirce to approve the minutes from the September 19, 2016 Public Arts Board Special Called Meeting as presented. A vote was taken and the motion passed 7-0. ADJOURNMENT Board Action A motion was made by board member Lopez, seconded by board member Pugh to adjourn the meeting at 6:29 p.m. A vote was taken and the motion passed 7-0. NOTICE The 3 member 2016 Wylie Arts Festival vendor approval committee will meet after the Public Art Advisory Board adjourns on October 20, 2016 to review current applications on file. The WAF Vendor Selection Panel consisting of Michelle Pugh, Anita Jones, and Nancy Peirce met at 6:35 p.m. to review current applicants and determine approval, hold or denial. The panel reviewed approximately 45 vendors and made determinations regarding entry to the event. Another meeting will be held after the November 1, 2016 deadline for applications, for the panel to make final recommendations.
