CALL TO ORDER DISCUSSION ITEMS • Update regarding the 2016 Thoroughfare Public Art Projects. (C. Ehrlich, PAAB Liaison) Executive Summary Staff will provide an update on the progress of artists Michael Szabo and John Davis and the fabrication designs of the three sites. • Discussion and update regarding Bluegrass on Ballard, July 1, 2017. Also for discussion is the purchase and sale of glow sticks for additional fund raising. Public Arts Advisory Board CITY OF WYLIE ■ Minutes Regular Meeting May 18, 2017 — 6:00 p.m. Wylie Municipal Complex Council Chambers/Conference Room 300 Country Club Road, Bldg. 100 CALL TO ORDER The Public Arts Advisory Board meeting was called to order at 6:01 p.m. by Chair Lynn Grimes. Board members present included: Lynn Grimes, Michael Schwerin, Anita Jones, Lisa Green and Nancy Peirce. Board members Michelle Pugh and Brooke Lopez were absent. Staff present included: Carole Ehrlich, board liaison and Administrative Assistant Tina Link. DISCUSSION ITEMS • Update regarding the 2016 Thoroughfare Public Art Projects. (C. Ehrlich, PAAB Liaison) Staff Comments PAAB Liaison Ehrlich gave a short update on the three projects underway. She explained that Michael Szabo was half complete with his two projects and John Davis was still revising his plans for the base but indicated he was within three weeks of be half way with his art fabrication. Board member Schwerin asked when the dedications might be. Ehrlich replied that the opening of the trails would coincide with Szabo's art dedication and the Golf Disc Park dedication for Davis's piece would follow so on after. She estimated it would be mid-September when the weather cooled a bit. • Discussion and update regarding Bluegrass on Ballard, July 1, 2017. Board/Staff Comments Staff member Link gave a short report on the current number of booths showing the number to be 89 including food booths. She explained that there would be more applications prior to the week of the event. May 18,2017 Wylie Public Arts Advisory Board Meeting Minutes Page 12 Chair Grimes reported that since the music has moved to the park, she would like to see the following recommendations be recommended to WDMA for all Bluegrass Events moving forward: 1. Deadline for WDMA to have their sponsorship list of sponsors wishing a vendor space but be turned into City staff by May 31st of each year for the Bluegrass Event. 2. All 2018 and forward WDMA members, craft vendors and/or sponsors pay the same amount for booth fees as all other vendors in the park (current vendor price). All food vendors wishing to have a food booth (consumption of food onsite) will pay a fee of$325 or current pricing, including sponsor booths from WDMA. If the sponsorship is $1,500 and above WDMA will pay the food fee to the City, if under $1,500 the sponsor will pay the current food fee to the City in addition to the sponsorship to WDMA. The full board made the recommendations as stated to be communicated to the Wylie Downtown Merchants Association. Chair Grimes presented samples of glow sticks to the board explaining that they could be purchased from Oriental Trading for $19.99 per 50 necklaces and $19.99 for 100 bracelets. She said that the wands could be purchased from Dollar Tree for a cost of $1.00 per wand. The board discussed pricing at $1.00 for bracelets and necklaces and $2.00 for wands. They also discussed purchasing aprons to carry the items to sell. It was directed to staff that each person bring enough change to use while selling the items and wear the aprons to keep the items on hand. Direction to staff was to purchase 500 each of bracelets, necklaces and wands and to sell any remaining after to Bluegrass Event at the Wylie Arts Festival. The cost for wands would be $2.00 and the cost for bracelets and necklaces would be $1.00 each. A booth near the stage would be set up for some members to sell from and others would walk around the event to sell the items. Chair Grimes offered to bring her tent to set up the booth. Ehrlich reminded the members of the scheduling for the event. Each member was reminded that they were required to attend and assist with the event and bring as many volunteers as possible. BUSINESS ITEMS 1. Consider and act upon approval of the minutes from the April 20, 2016 Public Arts Advisory Board Regular Meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Schwerin, seconded by board member Green to approve the minutes from the April 20, 2017 Public Arts Advisory Board minutes. A vote was taken and the motion passed 5-0 with board members Lopez and Pugh absent.
