Ehrlich, PAAB Liaison) Executive Summary Staff will provide an update on the progress of artists Michael Szabo and John Davis and the fabrication designs of the three sites. • Overview and discussion regarding Bluegrass on Ballard, July 1, 2017. Consider and act upon approval of the minutes from the June 15, 2017 Public Arts Advisory Board Regular Meeting. (C. Ehrlich, PAAB staff liaison) 2. Consider and act upon the appointment of a board chair for a term from August 2017 to July 31, 2017. Executive Summary Each year the board nominates and appoints a new board chair for the Public Arts Advisory Board. The board is requested to appoint a new board chair. 3. Consider and act upon the appointment of a vice chair for a term from August 2017 to July 31, 2017. Executive Summary Each year the board nominates and appoints a new board vice chair for the Public Arts Advisory Board. The board is requested to appoint a new board vice chair. Carole Ehrlich,City Secretary Date Notice Removed Public Arts Advisory Board CITY OF WYLIE ■ Minutes Regular Meeting June 15, 2017 — 6:00 p.m. Wylie Municipal Complex Council Chambers/Conference Room 300 Country Club Road, Bldg. 100 CALL TO ORDER The Public Arts Advisory Board meeting was called to order at 6:08 p.m. by Vice Chair Brooke Lopez. Board members present included: Michael Schwerin, Anita Jones, Lisa Green and Nancy Peirce. Board members Michelle Pugh and Chair Lynn Grimes were absent. Staff present included: Carole Ehrlich, board liaison. DISCUSSION ITEMS • Update regarding the 2016 Thoroughfare Public Art Projects. (C. Ehrlich, PAAB Liaison) Staff Comments PAAB Liaison Ehrlich gave a short update on the three projects underway. She explained that Michael Szabo was still on schedule for July for installation of his two projects and John Davis was still revising his plans for the base but indicated he was within three weeks of being half way with his art fabrication. Ehrlich estimated it would be mid-September when the weather cooled a bit for all art dedications. • Discussion and update regarding Bluegrass on Ballard, July 1, 2017. Board/Staff Comments Staff Liaison Ehrlich gave a short report on the current number of booths showing the number to be 117 including food booths. She explained that booths were full and staff had not received sponsor booths from WDMA as yet. Ehrlich presented the LED and Glow items to be sold at the event. She also provided a proposed price sheet. The only item the board directed change in cost for was the glow wand which will now be sold at $3.00 each. June 15,2017 Wylie Public Arts Advisory Board Meeting Minutes Page 12 Ehrlich reminded the members of the scheduling for the event. Each member was reminded that they were required to attend and assist with the event and bring as many volunteers as possible. Morning Tina is bringing the layout photos, vendor booth assignments and multiple lists of vendors and emergency number Michelle is in charge of coffee, cups and creamer Lynn is in charge of ice and a grocery cart Nancy is in charge of a large cooler and grocery cart Craig is providing a banner or large sign for the "Sign In" area Lisa is bringing bottled water Evening Sales Michael/Brook and Nancy/James will have grocery carts to sell items in and around the park. Each team will bring change ($50) Lynn Grimes will be watching for uninvited vendors Tina will have a cash box for the booth ($300 change) Lynn will bring the tent Anita, Tina, and Lisa will work the booth from 5:00 pm — 10:00 pm or when sales stop The booth will need zip ties or other items for the tent, to hang lights and glow items for display-maybe a string of Xmas lights? Lynn will assist with the transport of all the LED and Glow items to and from the park. Any items unsold will be saved at City Hall for the WAF. Tina will collect all sale cash prior to closing the booth. Vice Chair Lopez reported she had twelve volunteers scheduled for the morning shift from 6:30 — 10:30 am to assist vendors. These volunteers are from the High School ROTC. BUSINESS ITEMS 1. Consider and act upon approval of the minutes from the May 18, 2017 Public Arts Advisory Board Regular Meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Jones, seconded by board member Peirce to approve the minutes from the May 18, 2017 Public Arts Advisory Board minutes. A vote was taken and the motion passed 5-0 with board members Lopez and Pugh absent. ADJOURNMENT Board Action A motion was made by board member Schwerin, seconded by board member Jones to adjourn the meeting at 6:44 p.m. A vote was taken and the motion passed 6-0 with board member Grimes absent.
