Ehrlich, PAAB Liaison) Executive Summary Staff update the board regarding dates for the dedications for public art projects on the Municipal Complex Trails and Lavon Disc Golf Park. Discussion will include plaques for the three pieces of art and invitations to the event, and other preparation items. • Update regarding the Animal Shelter Public Art Project. Staff will discuss the Call for Artists deadline of February 5th and bring the board up to date regarding the jury process. BUSINESS ITEMS 1. Carole Ehrlich,City Secretary Date Notice Removed Public Arts Advisory Board City OF LIE 111 Minutes Regular Meeting January 18, 2018 - 6:00 p.m. Wylie Municipal Complex Council Chambers/Conference Room 300 Country Club Road, Bldg. 100 CALL TO ORDER The Public Arts Advisory Board meeting was called to order at 6:04 p.m. by Chair Lynn Grimes. Board members present included: Michael Schwerin, Anita Jones, Lisa Green, Brooke Lopez, and Nancy Peirce. Board members Minerva Bediako was absent. Staff present included: Carole Ehrlich. DISCUSSION ITEMS • Update regarding the 2016 Thoroughfare Public Art Projects. (C. Ehrlich, PAAB Liaison) Staff Comments Board liaison Ehrlich reported the first pour for the base of Prairie Crossing would take place either Saturday, January 20th or Monday, January 22nd depending on the weather. She explained there would be three pours. The next pour would be for the fifty foot seating area and the final pour would be for an extension of the sidewalk between the parking area and the sculpture. She advised the City Engineer Department would be on site for all pours and would report any issues. Ehrlich noted the final date for completion was February 27, 2018. • Discussion regarding the Municipal Complex Public Art and Trails Dedication and the Lavon Disc Golf Park Art Dedication. (c. Ehrlich, PAAB Liaison) Board and Staff Discussion Board liaison Ehrlich reported that the Parks department had been contacted to see when a good time would be to schedule the dedication for the two pieces at City Hall and also the sculpture at Lavon Park. She noted staff wished to have time to allow the weather to warm up and plants and other materials to be installed prior to any dedications. The Parks staff is in contact with both artists to see what types of plant January 18,2018 Wylie Public Arts Advisory Board Meeting Minutes Page (2 materials they would like to see around each sculpture. It was recommended to schedule both dedications in early May, giving staff time to complete the planting in all areas and for the weather to be a little warmer. The dedications will be hosted by both the Public Art Advisory Board and the Parks and Recreation Board to dedicate the trails and park additions. The board directed staff to contact the artists for any wording they would like to see on the plaques. Two bronze plaques will be installed next to Prairie Crossing and Entwine. John Davis is creating designs that are more whimsical for "Lift Off'. Ehrlich reported she would bring those designs/costs back to the board for final approval at the February or March meeting. • Discussion regarding the 2018 Wylie Arts Festival Fees and Fundraisers. Executive Summary Chair Grimes explained that during the December 6, 2017 meeting, the board tabled discussion regarding vendor/food vendor fees and auction fundraisers to gather more information regarding other event fees in the area. The board discussed fees for the 2018 WAF event and directed staff to prepare the vendor applications using the following fee schedule. 5X8 booths $ 80.00 8X8 booths $115.00 10X10 booths $175.00 Outside booths $ 80.00 Food vendors remain at $300.00 if FBC moves the parade. If FBC leaves the parade in conjunction with the event, the booths would be $325.00. Donated vendor gift sales will be accepted with one prize for the winning booth; the refunded cost of their booth. BUSINESS ITEMS 1. Consider and act upon approval of the minutes from the December 6, 2017 Public Arts Advisory Board Special Called Meeting. (C. Ehrlich, PAAB staff liaison) Board Action A motion was made by board member Peirce, seconded by board member Schwerin to approve the minutes of the Public Arts Advisory Board Special Called Meeting of December 6, 2017 as presented. A vote was taken and the motion passed 6-0 with board member Bediako absent. 2. Consider and act upon approval of "Lift Off" installed by John Davis and authorize the final payment of$7,800 to the artist. Staff/Board Discussion Chair Grimes addressed the board stating that John Davis has installed "Lift Off" and all work has been completed. Wylie Building Inspections Department has approved the piece and staff is asking for approval January 18,2018 Wylie Public Arts Advisory Board Meeting Minutes Page (3 by the board and authorizing final payment of$7,800 to the artist. Board Action A motion was made by board member Jones, seconded by board member Green to approve the final installation of "Lift Off' by John Davis and to authorize the final payment of $7,800. A vote was taken and the motion passed 6-0 with board member Bediako absent.
