required time frame. As a courtesy, the entire Agenda Packet has also been posted on the City of Wylie website:
www.wylietexas.gov.
The Chairman and Board request that all cell phones and pagers be turned off or set to vibrate. Members of the audience
are requested to step outside the Council Chambers to respond to a page or to conduct a phone conversation.
The Wylie Municipal Complex is wheelchair accessible. Sign interpretation or other special assistance for disabled
attendees must be requested 48 hours in advance by contacting the City Secretary's Office at 972.516-6020.

Executive Summary
Staff and the board have set the times for work schedules (see minutes from October meeting for
particulars). Staff will request an update on volunteers and committee activities from board members.
Staff will give an update on booths reserved for the event.

Special Called Meeting

CALL TO ORDER
The Public Arts Advisory Board meeting was called to order at 6:22 p.m. by Chair Michael Schwerin.
Members present included: Minerva Bediako, Marjorie Bennett, Ross Grant, and Anita Jones. Lily
Courtney and Nancy Peirce were absent.
Staff present included Carole Ehrlich, Public Art Coordinator.
DISCUSSION ITEMS
• Update regarding the Animal Shelter Public Art Project. (C. Ehrlich, Public Arts
Coordinator)
Staff Comments
Ehrlich reported that artist Robert Barnum had completed the first two milestones of his project and
had received the payment for each. This included certified engineering plans, insurance coverage
and final design of his proposal. The next milestone will include a building permit and starting the
fabrication process.
Installation is scheduled for Spring of 2019.
• Update regarding the 2018 Wylie Arts Festival. (C. Ehrlich, Public Arts
Coordinator)
Staff Comments
Ehrlich reported there had been 160 applications submitted for the event. There were another
thirty two for consideration by the vendor selection panel following this meeting. She indicated that
some of the vendors had been denied due to the large amount of applicants.
Ehrlich reminded the board of the need for additional sponsorships and asked each member to
solicit and secure, at least one sponsorship for the event. Ehrlich asked each member to volunteer

for a committee and the work schedule needed for the event. The committees included the
following:
Volunteer Committee: Board members, Michael Schwerin, Ross Grant
Coffee/Water/Donuts: Board member, Marjorie Bennett
Silent Auction: Board members, Anita Jones, Nancy Peirce, Minerva Bediako
Children's Activities: Board members Lily Courtney and Marjorie Bennett
The work schedule was set as follows:
Friday November 30, 2018 Vendor Set up (5:30 pm — 9:00 pm) All board members and volunteers
Saturday December 1, 2018 (6:00 am —9:00 pm) Vendor Set up: All board members and volunteers
Saturday December 1, 2018 (9:00 am — 1:00 pm) Event Hours: Anita Jones, Minerva Bediako, Michael
Schwerin and Marjorie Bennett
Saturday December 1, 2018 (2:00 pm — 6:00 pm) Event Hours: Michael Schwerin, Ross Grant, Lily
Courtney, and Nancy Peirce
Public Arts Coordinator Ehrlich reported she would be in attendance throughout the schedule. She
reported the Wylie East ROTC would be there during the Friday and Saturday vendor set up to assist.

1. Consider, and act upon, approval of the minutes from the September 20, 2018 Public
Arts Advisory Board Regular Meeting. (C. Ehrlich, Public Art Coordinator)
Board Action
A motion was made by board member Grant, seconded by board member Jones to approve the
September 20, 2018 Public Arts Advisory Board minutes with one correction to the attendance spelling of
Nancy Peirce . A vote was taken and the motion passed 7-0.
ADJOURNMENT
Board Action
A motion was made by board member Jones, seconded by board member Bennett to adjourn the
meeting at 6:49 p.m. A vote was taken and the motion passed 5-0 with board members Peirce and
Courtney absent.

NOTICE
The Wylie Arts Festival Vendor Committee will meet immediately following the Public Art
Advisory Board meeting to review current applications for the event.
Board members Bediako, Schwerin, and Ross met at 7:10 p.m. to review vendors for the upcoming
Wylie Arts Festival event. They completed the review at 8:02 p.m.
