Complex, distributed to the appropriate news media, and posted on the City website: www.wylietexas.gov within the
required time frame. As a courtesy, the entire Agenda Packet has also been posted on the City of Wylie website:

The Chairman and Board request that all cell phones and pagers be turned off or set to vibrate. Members of the audience
are requested to step outside the Council Chambers to respond to a page or to conduct a phone conversation.

Executive Summary
Committee members Courtney, Schwerin, and Bennett will further discuss fundraiser ideas for the 2019
Wylie Arts Festival with the board.
• Overview regarding the Bluegrass on Ballard Event, set for June 29, 2019.

Staff and the board will discuss an overview of the June 29th event and discuss any changes for 2020.
• Discussion regarding the 2019 Wylie Arts Festival and Sponsorship

Executive Summary
Staff will present the revised WAF Sponsorship Brochure and discuss new opportunities for sponsorships.
Also discussed will be the 2019 event and reports concerning the event.

Staff and the board will discuss possible sites for a 2019/20 public art project using events funds.

Consider, and act upon, approval of a new chair for the 2019/2020 year for a term

Executive Summary
Each year at the first meeting after July 1st, the board by-laws require the election of a new chair and vice
chair. Staff is requesting nominations and/or volunteers, and approval of a board member to serve in
each these two capacities for a one-year term from August, 2019 to June 30, 2020.

NOTES FROM THE 2019 BLUEGRASS ON BALLARD
• Make sure names of vendors on color sheets are in alphabetical order
• Meeting with Streets/Parks staff beforehand—possibly work session at the June Mtg.
• Send emails earlier w/booth unloading and vendor information,then send follow-up
closer to the event
• Remove booths 87, 88, 33 and 89 are under trees that need the tree canopy
heightened
• Brooks Pizza gift card approval
• Members of the board do not unload vendors
• Craig marks off the art area booths and the children's play area so member know
where to tell vendors to go
• Vendor letters should include that vendors are expected to unload themselves. As a
courtesy some help may be available but not to be expected

CALL TO ORDER
The Public Arts Advisory Board meeting was called to order at 6:10 p.m. by Chair Michael Schwerin.
Members present included: Minerva Bediako, Nancy Peirce, Anita Jones, Lily Courtney, Marjorie
Bennett (arrived at 6:38 pm) and Ross Grant.
Staff present included Public Arts Coordinator Carole Ehrlich, PIO Craig Kelly, and newly appointed
board member John Treadwell who will take office in July.
DISCUSSION ITEMS
• Committee report regarding fundraiser options for the 2019 Wylie Arts Festival.

Staff/Board Comments
Committee members discussed having art classes in the events center during the WAF to
raise additional funding. They asked if the church would allow them to use the additional class
rooms. PIO Kelly stated he would check on it but he believed they used those rooms for
storage.
PIO Kelly suggested in lieu of fund raising the board and staff concentrate more on developing
additional sponsors to raise additional funds. PAAB Coordinator Ehrlich suggested perhaps
adding new sponsor opportunities to the brochure and staff working harder to increase the
number of sponsors. Additional discussion on this idea will be scheduled for the next meeting.
• Update regarding the Bluegrass on Ballard Event, set for June 29, 2019.
Board Comments
Public Arts Coordinator Ehrlich reported there were currently 96 vendor and sponsor booths
and 12 food applications accepted. She noted she would anticipate over one hundred by the
event date. Ehrlich asked that all members be present from 6:15 am to about 11:00 am to
assist vendors setting up. She also reported that the ROTC group would be back this year to
assist the vendors.

Vendor color stations were secured with Chair Schwerin and Peirce to be in charge of Orange.
Board members Bennett and Bediako in charge of Green and Jones and Grant in charge of
Blue. New member Treadwell and member Courtney would be floaters.
Chair Schwerin suggested staff send out member phone numbers to all member for contact
during the event.
BUSINESS ITEMS
1. Consider, and act upon, approval of the minutes from the May 16, 2019 Public
Arts Advisory Board Regular Meeting. (C. Ehrlich, Public Art Coordinator)
Board Action
A motion was made by board member Grant, seconded by board member Pierce to approve
the May 16, 2019 Public Arts Advisory Board minutes. A vote was taken and the motion
passed 7-0.
• Consider, and act upon, approval of a panel to review applicants for the 2019
Wylie Arts Festival. (C. Ehrlich, Public Arts Coordinator)
Board Discussion
Ehrlich addressed the board stating that each year the board appoints three members to serve
on the WAF Jury Panel. She asked for three volunteers to be approved to serve in this
capacity. She noted that most of the meetings will be after the regular scheduled board
meetings but a few may be separate meetings. Board members discussed and nominated
John Treadwell, Lily Courtney and Marjorie Bennett.
Board Action
A motion was made by board member Pierce, seconded by board member Bediako to
approve Board members Treadwell, Courtney, and Bennett to serve on the 2019 WAF Jury
Panel. A vote was taken and the motion passed 7-0.
ADJOURNMENT
A motion was made by board member Courtney, seconded by board member Grant to
adjourn the meeting at 7:08 p.m. A vote was taken and the motion passed 7-0.

They will serve from the date of appointment to the last day in June of the following year. The chair will
conduct the meetings during his/her tenure and the vice chair will in the event the chair is absent.
Currently Michael Schwerin is serving as Chair and Nancy Peirce is serving as Vice Chair.
